Headstone-cleaning pricing can look deceptively simple because the visible material cost may be small.
For an operator, the larger cost is often time: travel to the cemetery, locating and documenting the marker, the paid service window, closeout and the drive to the next stop.

Short answer: how should a headstone-cleaning business set a profitable price?
Start with the complete paid visit rather than a flat competitor price.
A useful financial model is:
Direct job cost = entered materials + other consumables + equipment allocation + paid labor + vehicle cost + other direct cost
Then add overhead.
If you also want a target gross margin and expect a percentage payment fee:
Safe service price = cost before card fee ÷ (1 − card-fee rate − target-margin rate)

1. Price the full visit, not only the visible service time
A customer may think of the job as “one marker.”
The operator experiences several paid steps around that marker:
- job administration,
- travel,
- locating or confirming the site,
- documentation,
- the service itself,
- closeout,
- return travel or movement to the next stop.
The calculator therefore separates setup, service time per marker, closeout time and drive time.
This makes single-marker visits easier to compare with family plots or clustered cemetery days.
A one-marker job with a long round trip can consume more paid time than three markers already located together.
2. Enter material cost from your own verified workflow
The calculator includes an entered materials cost per marker.
That field is intentionally financial only.
It does not tell you which product, chemistry, pressure, tool or process is suitable for any stone. Marker materials, condition, cemetery rules and conservation concerns can vary substantially.
Use only a cost assumption from a method you have independently verified as appropriate.
Financially, the model is straightforward:
Entered materials cost = markers on the visit × entered material cost per marker
Separating this from labor lets you see whether a price change is driven by consumables or by time.
3. Include documentation and other small consumables
Many service businesses underestimate the accumulation of small job-level costs.
For cemetery care, that might include an operator-entered allowance for photo documentation, labeling, disposable supplies, customer-report preparation or other consumables.

4. Allocate equipment cost deliberately
Reusable equipment still has an economic cost even when it is already owned.
The calculator provides an equipment allocation per job.
This can represent the share of replacement, maintenance or depreciation you want each paid visit to carry internally.
It is not an accounting or tax depreciation schedule.
It is a simple operating question:
How much should each paid job contribute toward keeping the service equipment available over time?
If equipment cost is negligible for your model, keep the allocation low. If the business uses meaningful reusable gear, make the allocation visible instead of pretending the equipment remains free forever.
5. Paid labor should include travel and closeout
The calculator turns clock time into paid crew-hours.
Conceptually:
Clock time = setup time + markers × service time per marker + closeout time + drive time
Then:
Paid crew-hours = clock time × crew size
and
Labor cost = paid crew-hours × loaded labor rate
A loaded labor rate should represent the worker-hour cost you want each job to absorb internally.
For a one-person owner-operator, it is still useful to assign a labor value. Otherwise the calculator can accidentally treat the owner’s time as free and overstate profitability.
6. Route cost is more than fuel
The tool also includes total vehicle miles and a vehicle cost per mile:
Vehicle cost = job miles × vehicle cost per mile
Your per-mile assumption can include the vehicle costs you choose to allocate, such as fuel, maintenance, tires, insurance or depreciation.
This is separate from paid drive time.
Why count both?
Because the vehicle consumes money while the worker consumes time.
A long rural route can therefore hurt profitability twice: more paid hours and more vehicle cost.
7. Margin and markup are different
If a job costs $100 and you add a 40% markup, the selling price is $140.
The gross margin is only 28.6% because margin is measured against revenue.
If you want a true 40% gross margin before card fees:
Price = cost ÷ (1 − 0.40)
The calculator also considers a percentage payment fee:
Safe price = cost before card fee ÷ (1 − card fee − target margin)
This gives you a financial floor that matches the margin target you actually entered.
8. Contribution per paid crew-hour is a powerful route metric
Revenue per job alone can be misleading.
A $400 visit that consumes seven paid crew-hours can be weaker than a $250 visit completed in two hours.
The calculator therefore shows:
Contribution per paid crew-hour = modeled contribution at entered price ÷ paid crew-hours per job
This lets you compare jobs with different marker counts and travel profiles on a common time basis.
It is especially useful when deciding which service areas, package sizes or recurring arrangements deserve calendar space.
9. Cemetery route density can change the economics dramatically
Imagine two customers each need one marker serviced.
Customer A is a long standalone round trip.
Customer B is in a cemetery where you already have three other paid visits.
The marker-level work may be similar, but the route economics are not.
When you can cluster jobs, the effective drive time and vehicle cost per paid marker can fall.
That creates room for a recurring or multi-marker package without automatically sacrificing margin.
The correct discount, if any, should come from the actual route savings rather than an arbitrary percentage.
10. Use minimum job pricing for fixed visit costs
Small jobs often carry nearly the same fixed travel and administration as larger ones.
That means a pure per-marker rate can underprice a single-marker visit.
A useful structure to test is:
minimum visit price + incremental marker price
The minimum protects setup, drive, closeout, payment and vehicle cost.
The incremental amount reflects added service time and per-marker materials.

11. Daily capacity is a paid-hours problem
The calculator estimates practical daily capacity from paid crew-hours:
Daily job capacity = available paid crew-hours per day ÷ paid crew-hours per job
This is a financial planning ceiling, not a scheduling promise.
Actual cemetery access, appointment rules, geography and other operational constraints still matter.
The value of the metric is that it exposes the time bottleneck.
If one long-distance visit consumes four paid hours, an eight-hour day cannot realistically hold six identical visits just because the on-site work is short.
12. Stress-test the assumptions that most easily move
The calculator includes three financial sensitivity cases:
- service time per marker +30%,
- drive time +50%,
- entered material cost +40%.
These are not forecasts or technical recommendations.
They answer a business question:
If this assumption is worse than expected, how much does the safe price move?

13. Recurring care should be modeled from actual savings
Recurring service can reduce some administrative or route friction, but frequency by itself does not guarantee lower cost.
Before offering a recurring discount, compare:
- expected travel pattern,
- documentation time,
- average markers per stop,
- vehicle miles,
- actual paid service time,
- payment processing,
- contribution per crew-hour.
If frequency creates route density, part of the savings can support a lower effective rate while preserving margin.
If the customer remains an isolated stop, a recurring discount may simply reduce profit.
14. Save separate scenarios for different job archetypes

16. Keep preservation and cemetery requirements separate from pricing
