Post-Construction Cleaning Bids: Phase Pricing, Labor and Crew Planning

Post-construction cleaning is easy to underbid when the estimate starts and ends with one price per square foot.

The project may have one floor area, but the work is rarely one pass. Rough clean, final clean and touch-up work happen at different moments, under different site conditions and at different production rates. Glass, stickers, adhesive, debris and trade overlap can add labor that the square-foot headline does not explain.

A stronger estimate builds the labor first and converts the finished result back into a price per square foot only for comparison.

Separate the phases before you price them

A common project can contain several cleaning passes.

Rough clean

The rough pass may focus on larger debris, dust and making the site ready for later work. Production can be faster or slower depending on the condition left by trades, access and how much material removal is part of your scope.

Final clean

The final pass normally has a higher finish expectation. Detail work, fixtures, edges, surfaces and presentation become more important, so the production rate may be different from the rough pass.

Touch-up

A touch-up pass can happen after inspections, punch work or final trade activity. It may cover the same square footage but require fewer labor hours if the site remains controlled — or many more if other work has recontaminated cleaned areas.

The calculator lets you enter a different square-feet-per-labor-hour rate for each phase. Enter zero for any phase that is not part of the bid.

That makes the estimate explicit: the project is not “12,000 square feet at one magic rate.” It is a set of labor assumptions you can later compare with actual results.

Use your own production rates

There is no universal production rate that can safely price every construction-cleaning job.

Flooring, ceiling height, dust load, access, fixtures, glass, trade overlap, quality expectations and the point at which your crew enters the site all change output per hour.

The best production rates come from your own completed projects.

For each job, keep:

  • project square footage;
  • phase;
  • actual paid labor hours;
  • significant scope factors;
  • final selling price;
  • callbacks or re-clean time.

Then calculate the actual square feet per labor hour for comparable work.

When you are new and have limited history, use conservative assumptions and keep the scope language tight. Replace borrowed benchmarks as soon as your own jobs produce evidence.

Add glass and specialty detail as hours

Windows, stickers, adhesive, paint spots and other detail work can break a simple square-foot model because their quantity does not always scale evenly with floor area.

A small building with extensive glass can require more detail time than a larger open warehouse.

Include change-order buffer without giving away unlimited work

Known additional work can be added as change-order buffer hours in the calculator.

That is not permission for the project scope to expand indefinitely.

A good bid should distinguish between:

  • work already included in the base scope;
  • a small allowance for known or expected extra tasks; and
  • genuinely new work that should become a documented change order.

If another trade recontaminates a cleaned area or the general contractor adds a new building section, the economic problem may be a scope change rather than an estimating error.

The clearer those boundaries are before work begins, the easier the final invoice is to defend.

Convert labor hours into loaded labor cost

Estimated labor hours become money by multiplying them by your loaded labor cost per hour.

Loaded cost is not always the same as wage. Depending on your business, it may also include payroll taxes, workers compensation, benefits and other direct employment burden.

If the owner works on site, assign a cost to owner labor too. Otherwise the bid can look profitable because it assumes the owner’s time is worth zero.

The calculator combines rough, final, touch-up, extra and glass hours into one labor total, then applies the loaded hourly cost.

Add supplies, equipment and access costs

Post-construction jobs can create nonlabor costs that are meaningful enough to estimate separately:

  • chemicals and consumables;
  • disposable blades, pads, bags or cloths;
  • equipment rental;
  • specialty machine cost;
  • parking;
  • travel;
  • site access cost;
  • lift rental where it is part of your scope.

Enter these as direct costs instead of hoping the margin will absorb them.

When a specific expense is reimbursable by the customer, your contract may handle it differently. The calculator’s job is simply to make sure it is visible in the economics.

Allocate overhead

Insurance, office time, software, estimating, phones, supervision, equipment replacement and nonbillable administration still have to be funded by jobs.

The calculator applies an overhead percentage to direct cost. A larger cleaning company may use a more precise internal allocation method, but a visible allowance is better than assuming overhead does not exist.

Use actual financial statements to refine the percentage over time.

Reserve for legitimate re-clean and punch work

Construction cleaning has an unusual risk: a site can become dirty again after your crew finishes a pass.

Some return work may be part of the service you intentionally promise. Some may be caused by scope change or other trades and should be billed separately.

The calculator includes a re-clean or punch reserve as a percentage of selling price. Use it for the long-run cost you truly expect to absorb under your normal service promise.

Do not use a reserve as an excuse to leave scope undefined.

Solve the bid from target margin

After direct cost and overhead are known, the calculator solves backwards from your target gross margin and re-clean reserve.

The structure is:

safe bid = fixed cost ÷ (1 − re-clean reserve % − target margin %)

That is different from simply adding the target percentage to cost.

If fixed cost is 5,000 and you add a 35% markup, the price becomes 6,750. Profit before percentage reserves is 1,750, which is about 25.9% of the selling price — not a 35% margin.

Solving backwards keeps the percentage tied to revenue, where gross margin is actually measured.

Use price per square foot as a diagnostic

Once the safe bid is calculated, divide it by project square footage.

Now price per square foot becomes useful.

You can compare:

  • this project with similar completed jobs;
  • rough versus final-heavy scopes;
  • projects with large amounts of glass;
  • bids won versus bids lost;
  • your internal result with the market range you observe locally.

If the number looks unexpectedly high or low, go back to the underlying assumptions. Do not force the price-per-square-foot output to match a benchmark before understanding why it differs.

Check the deadline before submitting the number

Profitability and staffing are different constraints.

Suppose the estimate requires 180 labor hours. A crew of six working three eight-hour days has 144 labor hours of theoretical capacity.

The bid may be financially correct and operationally impossible.

  • every phase runs 15% slower;
  • extra detail labor rises 50%;
  • glass labor rises 40%.

The purpose is to see how much target margin survives.

If a small production-rate miss destroys the job, you can respond before the contract is signed by tightening scope, improving the estimate, adding contingency or changing the price.

Check a GC-requested price against your floor

Sometimes a general contractor asks, “Can you do it for 6,000?” before you finish estimating.

Post-construction cleaning bidding FAQ

Is price per square foot a bad pricing method?

Not necessarily. It is useful when built from reliable production history and a clearly comparable scope. The risk is using one market number without first understanding the labor and phase assumptions behind your own job.

Should I include touch-up cleaning in the original bid?

Include it when it is part of the agreed scope. If touch-up is uncertain, define the allowance and what would trigger additional billing so unlimited return work is not implied.

How do I estimate windows and glass?

Use your own measured labor history where possible. The calculator lets you enter glass and sticker work as labor hours so it does not have to be forced into the floor-area production rate.

What if the crew cannot meet the deadline?

Change one of the constraints before committing: staffing, schedule, scope or the job itself. A profitable bid is not operationally sound if the labor cannot fit the agreed work window.
