SSI Dedicated Account Annual Accounting Checklist

The easiest time to prepare an SSI dedicated-account accounting record is before Social Security asks for it.

SSA says the representative payee should keep receipts, bank statements and an expense record for at least two years, and should be able to explain how each expenditure relates to the child’s disability.

Year-end checklist

1. Reconcile the opening balance

Confirm the balance you started the reporting period with. If you began tracking mid-year, note that clearly rather than pretending the ledger is complete from January 1.

2. Record every deposit

Include past-due SSI deposits, interest, SSA-directed adjustments and corrections. A bank statement total without transaction-level context is harder to audit later.

3. Match every expenditure to evidence

For each withdrawal or purchase, record:

  • date;
  • amount;
  • vendor or payee;
  • purpose;
  • category;
  • how it relates to the beneficiary;
  • receipt status;
  • any SSA verification or written approval you retained.

4. Find missing receipts before they become old problems

5. Review unusual categories

Expenses involving ordinary maintenance, overpayment repayment or anything you marked “unclear” deserve a deliberate review against current SSA guidance.

6. Compare the ledger with the bank statement

Use:

opening balance + deposits + interest − expenditures = expected current balance

If that result does not match the account, investigate the difference while the transactions are still familiar.

7. Export a clean report

A useful annual packet can include:

  • account label and tracking period;
  • deposit summary;
  • expenditure summary;
  • spending by category;
  • transaction ledger;
  • receipt/evidence index;
  • notes explaining unusual transactions.

Why keep a separate evidence index?

A folder containing fifty image files is not an accounting system.

If the representative payee changes

SSA guidance says a former representative payee with an existing dedicated account may need to complete a final accounting and return the balance so funds can be transferred appropriately. A reconciled ledger makes that handoff much easier than reconstructing transactions from memory.

A 10-minute monthly habit beats a year-end rebuild

At the end of each month:

  1. enter interest and adjustments;
  2. verify each expenditure;
  3. attach or locate receipts;
  4. run reconciliation;
  5. export a backup.

That routine creates an accounting trail as a by-product of normal recordkeeping.
